How to add a tracking number to a Webflow order

The short answer

In Webflow, open CMS › Orders, click the order and choose Fulfill. Enter the shipping provider and tracking number, then confirm, and Webflow emails the customer an “order shipped” message with those details. Add tracking before you confirm, because the email goes out the moment the order is fulfilled.

You’ve packed the box, queued at the Post Office and got the receipt. Now the tracking number needs to reach your customer, ideally in the same email that says “your order’s on its way”. Here’s how Webflow handles it, and the one ordering mistake that catches people out.

How do I add a tracking number in Webflow?

Tracking is added as part of fulfilling an order. There isn’t a separate “add tracking” button.

  1. In the Designer or Editor, open the CMS tab and choose Orders. (New-order emails also have a link straight to the order.)
  2. Click the order you’ve shipped to open its details page.
  3. Click Fulfill.
  4. Webflow asks for the shipping provider and tracking number. Enter the courier (e.g. Royal Mail Tracked 48) and paste the number.
  5. Confirm. The order is marked fulfilled and the customer gets the order shipped email with the shipping and tracking details.

Webflow says you can leave both fields blank, but recommends filling them in “both for your own tracking and so that your customer receives these details by email”. Fill them in.

Why does the order of steps matter?

Because the email is instant. As soon as you confirm fulfilment, Webflow sends the “order shipped” email. If the tracking number isn’t on the order at that moment, it isn’t in the email.

If you’ve already fulfilled without tracking, the cleanest fix is often a short manual email with the tracking link, rather than unfulfilling and refulfilling.

Can I add tracking to lots of orders at once?

Yes. In the orders list:

  1. Enable the select option.
  2. Tick the orders you’ve posted.
  3. Set them as fulfilled.
  4. Webflow lets you add the shipping provider and tracking number for each order before you confirm.

That’s handy after a big post-office run, though you’re still pasting numbers one by one.

How do I make the tracking number clickable?

Customers want to tap a link, not copy a 13-character code into the Royal Mail website. The fulfil dialog only asks for provider and number, but Webflow’s Data API has a separate tracking URL field on orders (alongside the provider and tracking number fields).

Your options:

  • Link it yourself in a follow-up email. Use our free tracking link generator to build the link for Royal Mail, Parcelforce, DPD, Evri, Yodel, DHL, UPS, FedEx or USPS.
  • Use the API or Zapier. Webflow’s Zapier integration includes an Update order action, and the Data API’s Update Order endpoint accepts a tracking URL.
  • Use a tool that does it for you (see below).

Can I change what the shipped email says?

Yes. Go to Settings › Email in the Designer. You can change the email design (logo, accent colour, background) and edit the labels and text in each ecommerce template, including dynamic fields like customer name and store name. You can preview each template and send yourself a test.

Removing the Webflow branding from the email footer needs an Ecommerce Plus or Advanced plan.

What should go in the tracking fields?

A few habits that save support emails:

  • Be specific with the provider. “Royal Mail Tracked 24” tells the customer more than “Post”.
  • Paste, don’t type. Tracking numbers are long and unforgiving.
  • Strip spaces. Some couriers print numbers with spaces; most tracking pages want them without.
  • Digital orders don’t need tracking. Products set to Digital or Service don’t require shipping.

  • Parcel posted and receipt in hand
  • Order opened in CMS › Orders
  • Provider and tracking number entered before confirming
  • Shipped email template reviewed once in Settings › Email
  • For clickable links: generator, API/Zapier, or a tool that saves the link for you

FAQ

Does Webflow send the tracking number to the customer?

Yes. When you fulfil an order, Webflow sends an “order shipped” email containing the shipping provider and tracking number you entered.

Can I add tracking after I’ve fulfilled the order?

Not cleanly. You can mark the order unfulfilled and fulfil it again with tracking, but that resends the “order shipped” email, so the customer gets two.

Can I add tracking numbers to several orders at once?
